Club Rules

Rules of Pontypool Road Cycling Club approved by Special General Meeting on 1st November 2016

The club shall be called the Pontypool Road Cycling Club (herein after called the Club) and its primary purpose shall be to encourage the sport and pastime of cycling in all its forms.

The Club shall be affiliated to the cycling bodies necessary for its members to participate in cycling.

The management of the Club shall be by Executive Committee elected at the Annual General Meeting and shall consist of club officials plus any further members deemed necessary.

The Club officials shall be Chairman, General Secretary, Treasurer, Racing Secretary and Ladies Secretary.

In order to become an elected Officer of the Club, or a Member of the Executive Committee, that person shall have been a first claim fully paid up Club Member for not less than two full and continuous years.

The Executive Committee shall have full powers to deal with any matter not provided for in these rules until the next AGM.

The General Secretary shall keep minutes of all Committee meetings, Annual General Meetings and any Special General Meetings of the Club.

The Annual General Meeting shall be held in the month after the last club time trial of the summer season and all members are requested to attend.

Items for the agenda of the AGM shall reach the General Secretary at least 7 days prior to the meeting.

The Treasurer shall keep and maintain proper accounts for the Club and shall prepare a report and balance sheet for each Annual General Meeting. The financial year of the Club shall end prior to the AGM each year.

Members will make themselves conversant with the Club’s rules, and agree that in the event of any injury, loss or damage suffered in association with Pontypool RCC, no liability shall be attached to the club, its officials or its members.

The joining fee and /or annual subscription to be as that decided appropriate at the AGM.

Club subscriptions shall fall due on 1st January of the current year and shall be paid no later than 28 February. Any member not paying their annual subscription by 1st March of the current year shall be deemed to have resigned and forfeited the privileges of membership. They shall re-join at current joining fee.

New members (who have not been a member of the Club previously) who join after September 1st shall upon payment of subscription be entitled to full membership for the following year.

Members leaving to join a local club (within the Historical Gwent County boundary) as 1st claim for no acceptable reason, shall forfeit their right to awards due or already awarded plus competing in any ‘club’ events for a period of 12 months.

Members are required to agree not to continue to wear the Club Badge or registered Racing Jersey if they cease membership of the club.

No Member shall be allowed to make use of the Club name, Club badge or registered Racing Jersey for business or advertising purposes except as allowed under British Cycling Technical Regulations and also if expressly agreed by the Club.

Any Member acting in a manner objectionable or contrary to the best interests of the Club shall be called upon by the Executive Committee for an explanation and if they fail to justify themselves then the Executive Committee shall have full power to expel them.

All members shall be encouraged to join British Cycling or one other cycling body to receive insurance and other benefits.

On Club runs each Member shall be entirely responsible for their own safety and well-being at all times.

All members are expected to be responsible for the safe and roadworthy condition of their bicycles and are expected to observe the Highway Code.

A special meeting may be called by the Executive Committee or General Secretary upon request by six members, and with at least 7 days’ notice given to all club members of the agenda.

No alteration shall be made, or additions to any of these rules, except with the consent of at least two thirds of membership at the AGM, or Special General Meeting called for this purpose. Notice of the meeting shall be circulated to the members 7 days before the meeting along with a copy of the agenda, or proposed changes to the rules.

Any member’s matters not provided for by these rules should be dealt with by the committee, whose decision will be binding on all parties. The Executive Committee shall have full powers to elect Life Members from Club Members of long-standing.

The Club shall make awards for Club designated Time Trial Championship events for 1st 2nd and 3rd. An award for the best Veteran on Cycling Time Trials (CTT) standard will also be made. No rider shall win more than one award in each event.

A club Best All Rounder award shall be decided on Time Trials in South Wales under CTT regulations over 25, 50 and 100 miles.

The Johnny Gould Cup to be held for one year by the rider, who starting the year as a novice, records the fastest time of the season in a 25 mile time trial. Open, Association or the Club 25 to count for this purpose. A novice shall be defined as a rider who has not competed in any form of cycle racing at 1st Jan of the year in question.

As a club member your information may be shared on the club website, social media pages or in emails sent by the club. This data will only be shared in the event that either you are a club volunteer, have participated in a race or challenge event or have recorded a major achievement. This data will be limited to your name, race results (if applicable) and details of your achievement. Limited further information about you may be included; for example, whether you have participated in a juniors’ race or a women’s race.

When you become a member of or renew your membership with Pontypool Road Cycling Club you will be registered for an online account with British Cycling. We will provide British Cycling with your personal data which they will use to enable access to an online portal for you (called My Dashboard) on the British Cycling website. British Cycling will use your personal data in accordance with its Privacy Notice which can be accessed at British Cycling will contact you to invite you to sign into and update your dashboard (which, amongst other things, allows you to set and amend your privacy settings).
